The office move checklist for Hills District businesses: what to update, who to tell, and what to lift

If your shop, clinic or office is relocating in the Hills District, the paperwork has legal deadlines attached, and the lifting has a duty of care attached, so both belong on the plan before the trucks are booked.

Start with the 28-day clock, not the boxes

The first deadline in an office move has nothing to do with furniture. The Australian Business Register requires a business to update its ABN details, including its address, within 28 days of becoming aware of the change (for most businesses, around when the new lease is signed), not the day the last crate lands.

That clock is easy to miss because it starts weeks before anyone is thinking about logistics. Put the date in the calendar the moment the lease is executed.

If you trade through a company, the ABR is not the only register that needs telling. business.gov.au's guide to updating your business details sets out who to notify of a change of address, including ASIC for companies. Work through that list once, properly, rather than fixing it in pieces over the following six months.

The address list nobody hands you

Beyond the registers, the addresses that cause the most grief after a move are the ones held by other people: your insurer, your bank and merchant facility provider, your landlord's agent at both ends, suppliers who deliver on account, your accountant and bookkeeper, and Australia Post for mail redirection.

Then there is everything with your address printed or published on it. Invoice templates. Quote templates. Email signatures. The Google Business Profile that sends walk-ins to your door, which matters more for a clinic or a shop than for a back-office team. Signage at the old site, if the lease requires you to strip it.

A practical trick: spend twenty minutes searching your own business name online and note every place your old address appears. Directory listings outlive the tenancy that created them.

Keep every receipt from the move

Relocation brings a cluster of one-off costs: the removal itself, storage between leases, a locksmith, new signage, a cabler running data points. The ATO's guidance on deductions for other operating expenses explains that operating expenses for the everyday running of a business are generally deductible in the year they are paid.

Whether each specific cost in your move is deductible, and in which year, depends on your circumstances, and some fit-out costs are treated differently to running costs. That is a conversation for your accountant. Your job on moving week is simply to make sure the invoices exist, are itemised and are coded to the move rather than disappearing into "sundries".

Who does the lifting is a work health and safety decision

This is the part business owners most often treat as a favour and not a risk. Filing cabinets that were loaded ten years ago, monitors, safes, commercial fridges and photocopiers are heavy, awkward and often need to travel down a corridor, through a fire door and into a lift.

Safe Work Australia's model Code of Practice: Hazardous Manual Tasks gives national guidance for any workplace on identifying, assessing and controlling risks from manual tasks such as lifting, pushing, pulling and carrying. If you ask your staff to shift the office on a Saturday, those duties are yours, not somebody else's.

The honest read: a team of four office workers and a borrowed ute is rarely the cheap option once you count the risk, the lost Monday and the damaged desk. If you do run part of the move in-house, empty the cabinets first, use proper trolleys, and plan the route and the rest breaks the same way you would plan any other task at work.

Sequence the week so the business can still answer the phone

Downtime is the real cost of an office move, and most of it is avoidable with lead time. Internet and phone services are the usual culprit: order the new connection and any number porting early, because the provider's timeframe is not yours to control.

Decide in advance what "open" means on the first day at the new site. Which staff need a working desk, which systems must be live, and what can wait a week. Label crates by destination room and by owner, not by contents, so unpacking is a distribution job rather than a treasure hunt.

If you can, do the physical move outside trading hours and keep one person off the unpacking roster entirely to answer calls and deal with whatever goes sideways.
